User Timetable View
If your system makes use of timetable, a user can now view their timetable on their profile. Admins can also view teachers’/users’ timetables in the site settings menu.
Event Log Report
On the SELMA Settings cog wheel, you now have another link ‘Event Log Index’ (if you have the permission granted) which will take you to a new index page, displaying all logged events relating to these seven objects – Student, Enrolment, Class, Intake, Organisation, Contact, and System Users. You are able to utilise the advanced search accordion to fine tune your search results, and the index is exportable as a CSV file. The quick search works too; however, for fine tuned searches e.g. ID’s, this will require the advanced search.
Event Log Entry with Generated Document
Added the option to generate Enrolment PDFs e.g. Transcript or Statement of Attainment when creating new notes from Enrolment and Intake/Class Bulk Event creation
Blackboard LMS
SELMA can now be integrated with Blackboard! Automate your provisioning process by syncing students directly to Blackboard from within SELMA. Grades can also be synced back to SELMA. Get in touch for details.
Attendance & Timetabling Improvements
The Attendance Matrix now offers a date selector when clicking on the date range button. This allows you to jump to the day/week you want to view. It also now sports a day, week & ‘all’ view.
Withdrawal Wizard Improvements
When changing the status of an Enrolment through the Status Wizard, there are some major improvements to the process.
Firstly, on all statuses except for completed, you will have a table rendered displaying all ‘uncompleted’ enrolment components. ‘Completed’ components will not be shown here as their status should remain completed.
This table will show you the current completion code, and the new completion code that will be set on enrolment status transfer.
The following are the changes to the enrolment component completion codes based on the enrolment status:
- Withdrawn → ‘W’ Status = Withdrawn/discontinued
- Active → ‘A’ = Continuing Activity
- Failed → ‘F’ = Competency not achieved/fail
- Waitlisted → ‘WA’ = No change to Enrolment Component
- Pending → ‘P’ = No change to Enrolment Component
- Cancelled → ‘CA’ = Withdrawn/discontinued
- Deferred → ‘D’ = No change to Enrolment Component
With the withdrawn status:
When you have AVETMISS/NCVER enabled, you will also have a column for hours attended per enrolment component, and in this column you can set the amount of hours that the student attended; however, you cannot set the hours to exceed the nominal hours (if nominal hours are set). If you try, there will be an error message.
Enrolment Components will also have the relevant withdrawal fields populated when the enrolment gets a withdrawn status change.
With the completed status:
The table will not show and the logic remains the same, as you should be updating and completing enrolment components through the proper process.
Any existing withdrawal fields on the enrolment and enrolment component that are set will be set back to null when changing an Enrolment from a status of ‘Withdrawn’ to any other status.
Student Cards/Forms
Moved all Student Edit cards to utilise inline editing.
Cloud Assess Unit Bulk Update
When bulk updating enrolment components, you are now able to also update the cloud assess unit status; however, any enrolment components that already contain a cloud assess unit status will be skipped as they are not to be overwritten. You can still tick these enrolment components on the bulk update, in case you want to bulk update multiple fields – they will just be skipped.
Limit Bulk Component Update on Intake
When going to bulk update enrolment components through an Intake, this can now only be achieved in the matrix
view. The button will remain disabled when checking boxes in either of the two other grid views.
Student/Class/Class Enrolment/Timetable Importers
Several importers have been created to fast track processing data from external sources. You can find it under Reports > Import (if you have the permissions to view it).
Portal Config Menu
Some customisation options are available for the student/stakeholder portal – allowing for styles, text and login types to be changed as per your requirements.
Bugfixes
AVETMISS
AVETMISS Enrolments that have completion dates on either the enrolment or enrolment component (date_program_completed and outcome_date respectively) now display even if the completion_date is outside of the collection window. The fields will simply display as null.
SELMA Forms
Fixed a bug when changing between the form rule condition types, it was clearing the value and not setting it correctly.
‘Interested in Intake’ now only shows intakes where the end date is greater than or equal to today’s date. Closed intakes are also no longer shown as options.
SDR
- Changed course title in SDR report to be capped at 75 characters, in line with TEC recommendations.
- Fixes issues arising when updating programme NZ compliance with default ITE subject entered.
- SDR Extract – Fixed duplicate rows being added to the SDR report when users generate it multiple times within a certain timeframe.
Xero
- Enhance the processing speed of Xero account updates in the SELMA-Xero integration.
Sales Report
- Added missing translation for Sales Report
General
- Dates showing in correct timezone on index grids and various places in the system now.
- Organisation name now shown correctly on Intake.
- If an intake is deleted, it will now be removed from any student records that had it set as ‘Interested in Intake’ value.
