In this Section:
Enable Student – DXP Ngā Kete API
Navigate to Student > NZ Compliance
Enable the WBT API from the NZ Compliance card, below. This will run validation rules, and error messages will prompt you to fill out required fields that are empty. Hover on the WBT icon on the left hand panel to see the date and timestamp when the Student was last synced to the DXP Ngā Kete (WBT).

The following fields are sent to DXP once the Work Based Training indicator is enabled:
- First Name
- Surname
- Date of Birth
- Citizenship
- Gender
- National Student Number (NSN)
- Disability Status
- Disability Services Accessed Indicator
- Disability Support Needs
- Ethnicity: At least one ethnicity must be specified.
- Iwi: If ‘Māori’ is selected as an ethnicity, at least one Iwi must be specified.
- English as a First Language
- Last Secondary School
- Secondary School Qualification
- Last Secondary School Year
- Main Activity – Previous Year
- First Tertiary Education Year: Must be after the last secondary school year.
- IRD Number: If provided, the IRD number must be a valid 8 or 9-digit number.
- Employment Type
- Student Occupation Code
When “Work Based Training” is enabled on the student, the background validations are triggered. This requires you to update the fields in order to submit the changes. This will prevent fields from being empty and prevent incomplete information from being sent to DXP.
Values that do not pass the the validation are highlighted as shown:

When saving the Student record, the background WBT API validation checks runs. If the student is deemed valid for the WBT then a sync message gets triggered. The process checks to see if the student already exists in the DXP WBT before it decides to either create or update the learner.

If an error occurs you will be notified via an error pop up.

When the student has successfully been synced to the DXP you will receive the green success pop up

In order to minimise WBT administration, the validation and auto syncing is only runs when WBT specific fields are updated. For example if you update the students address or Contact Details the validation and auto sync is skipped.
On the student profile, the TEC logo on the sidebar indicates whether this student has been synced to DXP or not. If this logo is greyed out, student is not synced. If this logo is gold coloured, hover your mouse on it to view the latest student sync timestamp.

Link Employer to Student
- Navigate to Student > Stakeholders
- Click the “+Add” button to link an Organisation.

Add Required Details and Save:
- Organisation: Select from active organisations.
- Student organisation association type: Must be “(E) Employer”. Once this is selected, fill out:
- Student Employment Region
- Student Employment Authority
- Primary: Must be ticked
- Include in communication: Optional.
- Valid From: Must be filled out. This date represents the employment start date.
- Valid To: Leave blank to indicate it’s an ongoing employment.

Student RoA Import
This step is optional but strongly recommended to check if a student has previously achieved Unit Standards before enrolling into a WBT programme.
When a Record of Achievement is imported or manually updated, SELMA scans any unit standards the student has already achieved when a new enrolment is created. If they enrol in the same unit standard, SELMA automatically marks that component as “Cross-Credit” to prevent duplicate reporting to NZQA.
