Validation Manager Set-up

Your account will come with a default validation configuration called ‘SELMA’. This can be configured based on your own specifications, or you can leave it as is and create a brand new one.

To view all your validation rules, navigate to Settings (Cog) → Validation Manager.

You will be directed to the page where all your validations are listed.

 

Add New Validation

Adding a new validation is quite simple. Simply type the name of your validation rule in the field next to the green + Add button, then click the button to create the validation.

Once created, you can edit the rules attached to this validation.

Edit Validation Rule

To edit the validation, simply expand the validation section — this will display all the current rules attached to it.

To make changes to a rule, click the green pencil icon next to it.

You will be directed to a screen that displays all available fields in the student profile.

The blue tick indicates that the field must be filled in and cannot be left blank for the validation to pass.

To remove a rule, simply deselect the corresponding field.

Once you’ve finished setting up the validation, click the Save button — and you’re all set to use it.

Delete Validation

To delete a validation, simply expand the view and click the red bin icon. You will be prompted to confirm the deletion. Once confirmed, the validation will be removed. However, if the validation is currently linked to any objects in the system, you will not be allowed to delete it.

To set up validation in SELMA SIS, start by visiting the student’s profile. At the top left, you’ll see the student’s current status, and just below that, their validation status.

  • A red X next to the validation means the student is not validated or is missing required information.

  • A green tick indicates the student is validated and has all the required details

To validate a student or update their validation settings, click the green pencil icon next to the validation.

The change validation pop-up will come up where you can select the validation  if it’s empty or change the validation. 

  • Clicking Save will store the validation settings but will not validate the student.

  • Clicking Save and Validate will both save the settings and attempt to validate the student’s record.

    • If successful, a green tick will appear.

    • If unsuccessful, a red X will appear, indicating the student is still missing required information.

Programme Validation

Programme validation is set up when you want to enrol only specific students into a programme. For example, you may require students to have an email address, date of birth, and gender recorded before they can be enrolled. In this case, you would first configure student validation to ensure the required information is present in the student’s profile. Once student validation is in place, you can apply programme validation to restrict enrolment to only those students whose profiles meet the criteria.

This validation check is applied at the intake level.

Intake Enrolment Validation

When enrolling a student into an intake, the system first checks whether validation is set at the programme level. If validation is enabled, only students who meet the same validation criteria can be enrolled.

If the programme does not have validation set up, you can enrol any student, regardless of whether their profile meets any validation rules.

When attempting to enrol students into an intake linked to a programme with validation, you will see students listed who do not meet the criteria (font in yellow) — however, you won’t be able to select them. This indicates that their student profile does not match the programme’s validation settings. 

You can only select students displayed in black font during enrolment. Students shown in grey are not eligible, as they do not meet the programme validation criteria.
